Room Booking — Critical Policy

  • Out-of-Station Guests Only: Premium rooms at VG Venues are exclusively reserved for guests traveling from outside the local area (Palakkad & surrounding districts).
  • Mandatory ID Requirement: All guests must present a valid, original government-issued photo ID at the time of check-in (Passport, Aadhaar, Driving Licence, Voter ID, PAN Card).
  • Local IDs Not Accepted: Any government ID reflecting a local address (Palakkad district) will not be accepted. The booking will be cancelled without refund in such cases.
  • Couple Policy: Unmarried couples must provide proof of relationship or present a valid marriage certificate. Management reserves the right to decline check-in.
  • Age Requirement: The primary guest must be 18 years of age or older. Valid age proof required for all guests.

Hall Booking Policy

  • Advance Booking: A minimum advance booking of 30 days is recommended to secure preferred dates. Date availability is subject to confirmation.
  • Security Deposit: A refundable security deposit is required at the time of booking confirmation. Amount communicated during enquiry.
  • Capacity Limits: Hall A holds up to 200 guests; Hall B up to 150 guests. Overcrowding is strictly prohibited and may result in event termination.
  • Outside Food & Beverages: Outside catering is permitted only with prior written approval from management.
  • Noise & Timing: Music and celebrations must comply with local government noise ordinance levels. Events must conclude by 11:00 PM unless extended permission is granted.

Payment & Cancellation

  • Booking Confirmation: Reservations are confirmed only upon receipt of the advance payment as communicated by our team.
  • Cancellation — 30+ Days Prior: 75% refund of advance paid (excluding processing fees).
  • Cancellation — 15–29 Days Prior: 50% refund of advance paid.
  • Cancellation — Less than 15 Days: No refund. Rescheduling may be accommodated subject to availability.
  • Force Majeure: In case of government-imposed restrictions or natural calamities, a full credit note valid for 12 months will be issued.
  • GST: All quoted prices are exclusive of applicable GST as per Indian tax regulations.

Rules & Code of Conduct

  • Prohibited Items: Weapons, narcotics, and illegal substances are strictly prohibited on the premises.
  • Alcohol Policy: Consumption of alcohol is permitted only in designated areas and in compliance with Kerala Abkari Act, 2019. A valid permit may be required.
  • Damage Liability: The event organizer is responsible for any damage to venue property. Costs will be deducted from the security deposit.
  • Decoration Rules: Use of open flames, nails, adhesive tape on walls, or items that cause permanent damage is prohibited without written approval.
  • Vendor Access: External vendors must register with management at least 2 hours prior to event commencement.

Legal & Regulatory Compliance

  • These Terms & Conditions are governed by the laws of the Republic of India. Any disputes shall be subject to the exclusive jurisdiction of courts in Palakkad, Kerala.
  • VG Venues complies with applicable provisions of the Information Technology Act, 2000, Consumer Protection Act, 2019, and all applicable Kerala State Regulations.
  • Guest data collected during booking is processed in accordance with our Privacy Policy and applicable Indian data protection laws.
  • VG Venues reserves the right to amend these terms with 30 days' notice. Continued use of services constitutes acceptance of revised terms.
